Vacancy Description:

Reporting to the PA to Chief Commercial Officer, the role will provide general administrative support to the team of PAs at Porterbrook. The role is a trainee administration role, which will be supported by study for a relevant administrative apprenticeship qualification. Its purpose is to provide effective administration support throughout the Company where this is most required.

Roles and Responsibilities:

The post will support the PA team with the following:

  • Diary management
  • Planning and booking travel arrangements
  • Booking of hotel accommodation
  • Booking of venues for departmental entertainment, such as lunches, evening meals or events as required with customers and/or suppliers
  • Raising of requisitions within the Oracle system for the purchase of goods
  • Compilation and distribution of the weekly report for the commercial department and/or other departments as required, together with the schedule of movements for staff as required
  • Administration of disposals documentation
  • Provision of assistance to senior PAs across the business

With initial support from the PA to the Chief Commercial Officer, be responsible for the maintenance of the commercial contacts database, progressing to the maintenance of any other contact databases across the company, as required

    • Provide general administration support across the Company including:
      • Administration/logging/electronic filing of contract variations
      • Occasional holiday cover for the administration team
      • Occasional reception cover for the Derby office
      • General administration support, during busy times
      • Attendance at and assistance with corporate events, as required

Desired Qualifications:

  • English Language and Maths GCSE (or equivalent) qualification essential
  • A Level (or equivalent) qualification preferred

Training and Qualifications Required:

  • Level 3 Business Administration Apprenticeship
  • Level 1 or 2 Functional Skills English (if required)
  • Level 1 or 2 Functional Skills maths (if required)
  • Level 1 Functional Skills ICT (if required)

Working week and salary:
Working Days: Monday to Friday, 8:30am - 5pm

Working Hours: 37.5 a week

Hourly Salary:  £10.00

Weekly Wage: £19,000
