Job Title:     Data Administrator

Apprenticeship Qualification:     Business Administrator Level 3

How long will it take:     16 – 19 months

With:     CT Skills

Where:     Unit 1, Priory Court, Derby Road, Nottingham, NG9 2TA

Please Note:  There will also be an element of Home Working for which you will be provided with a company laptop and phone. You will of course require a suitable workspace and secure internet connection.

Reporting to:     Data Manager

Rate of Pay:     National Minimum Wage, for Age

Hours of Work:     Monday to Friday, either: 8am to 4pm / 8.30am – 4.30pm /9am – 5pm

Overview of Role:

Joining perhaps one of the most integral parts of our business, you will provide a vital administrative and support service to Learners and Tutors alike. Reporting directly to the Data Manager, and an existing team of Data Administrators.

Responsibilities:

Your primary responsibility will be to administer the processing of Learners (those both on Apprenticeships and Short Courses/Programmes) onto their Training Programmes with CT Skills.

Managing information across multiple platforms (government websites, awarding bodies etc.) referring /adhering to a range of education/funding rules, not to mention managing a huge volume of information (on average the team receives in excess of 120 emails a day) this role is not for the faint hearted!

You don’t need to have previous admin experience, but you DO need to have the ability to manage multiple tasks simultaneously, have a sense of urgency, and attention to detail! Oh, and a good memory helps!

Day to Day, you will:

  • Process starts/progressions across all contracts correctly and efficiently
  • Follow procedures to ensure all data is processed on the relevant systems accurately and to deadlines
  • Liaise with staff to resolve any issues that may arise
  • Book and monitoring tests and ensuring set criteria is met:
  • Follow internal and awarding body procedures/rules to ensure all relevant tests are booked, completed and sent off correctly and to meet deadlines
  • Liaise with awarding bodies to resolve any issues that may arise
  • Maintain and improve knowledge on all contracts; attending meetings/training and researching
  • Ensure that all claim/upload deadlines are met; ensure data is clean and accurate by deadlines
  • Interpret data reports to assist in cleansing of data
  • Register and claim learners with the Awarding Bodes; follow internal and awarding body procedures and rules to ensure that all relevant learners are registered and fees claimed at the relevant times
  • Liaise with awarding bodies and staff to resolve any issues that may arise
  • General administration duties; photocopying, filing, shredding, sorting and distributing post, archiving etc.
  • Contacting staff, external parties and learners to resolve queries or to give information
  • Contributing to continuous improvement through self-assessment and shared best practice; identifying standards of service and raising them where possible; continuously monitor performance against targets and identify best practice

Qualifications Required

  • Administration qualifications desirable
