Apprenticeship Duration:                Up to 19 months

Working Hours:                              30 hours a week (Monday – Friday, working flexibly between 8am – 6.30pm)

VACANCY DESCRIPTION:

You will  be responsible for providing an efficient, confidential and welcoming reception service to all

patients and visitors to the Practice. You will provide administrative support for all clinicians and the Business/Practice Manager and use Practice computer systems effectively and efficiently to record and maintain all confidential data.

KEY DUTIES & RESPONSIBILITIES:

DAY to DAY, you’ll be responsible for:

  • Receiving patients with appointments, sending them through to the doctor or nurse at the appropriate times
  • Explaining practice arrangements/requirements to patients wishing to register, making sure these are completed
  • Advising patients of charges for non – NHS services, accept payment and issue receipts
  • Responding to all queries and requests for assistance from patients and all other visitors to the practice
  • Passing any query that cannot be dealt with to the appropriate member of staff
  • Making sure Consulting Rooms are prepared correctly before each surgery starts and that they are checked at the end of surgery, notes are collected and sorted for filing and prescriptions are locked up
  • Making sure Reception and waiting areas are kept neat and tidy
  • Supporting the Reception team to ensure that all notice boards are up to date
  • Ensuring that all leaflet racks are fully stocked
  • Making appointments for patients in person and over the telephone in accordance with practice procedures
  • Making sure that letters, reports and results are dealt with in accordance with practice procedures
  • Filing paper records in strict alphabetical order
  • Recording any changes in patient details on the patients’ records and on the computer
  • Assisting with the production of private letters, insurance reports and photocopy notes
  • Sorting out the post, and carry out other admin duties e.g. filing, copying, telephoning, tasks, faxing etc as directed by the Senior Receptionist, Practice Manager or other senior staff
