About the Role:

To provide effective and efficient administrative support to the New Leaf Repairs team, covering a broad range of activities and providing a high-quality frontline response to customer enquiries relating to the repairs and maintenance service.

And Day to Day?…. You WILL:

  1. Provide an efficient, knowledgeable and professional first point of contact for all enquiries from customers (tenants, contractors, suppliers, stakeholders and key agencies) relating to property maintenance and repairs
  2. Ensure enquiries are dealt with effectively, obtaining accurate information to diagnose work required
  3. Raise maintenance job tickets via the repairs system in accordance with policies and procedures and ensure all data is recorded accurately, and full contact details are recorded for all callers
  4. Liaise on a daily basis with operatives to deal with and rectify queries
  5. Raise orders for subcontractors
  6. Action live jobs through to completion and run monthly reports
  7. Assist in the organisation of planned and void works programmes
  8. Check and accurately code and process invoices from suppliers and subcontractors
  9. Take meeting minutes and write communications in the form of letters and emails
  10. Update spreadsheets
  11. Manage the vehicle database, ensuring that services and MOT’s are renewed in timely manner
  12. Oversee the ordering and issuing of uniforms and Personal Protective Equipment for staff.
  13. Train and assist any new staff in the department
  14. Report and resolve complaints in an effective manner and providing ideas for customer improvements
  15. Improve existing systems and procedures to provide effective repairs and maintenance service to all customers
  16. Take responsibility for own Health, Safety and Welfare and that of colleagues in the workplace
  17. Put the customer at the heart of all that you do
  18. Work with colleagues and managers to deliver against our Business Plans
  19. Be familiar with/fully compliant with all safeguarding requirements and BCHA’s Safeguarding Policy & protocols
