Vacancy Description:

The Apprentice Administrator is responsible for the being the first point of contact for anyone telephoning or visiting HISC Retford and Gainsborough and for providing a superb level of communication and customer service.

The Apprentice Administrator is also responsible for general housekeeping duties in the office, ensuring that it is a welcoming place which reflects the Vision, Values and Ethos of the company. The role also carries the responsibility of assisting all members of the office staff with aspects of their role where appropriate.

Roles and Responsibilities:

  • Reception co-ordination
  • Welcome bag production
  • Birthday cards to clients and CAREGivers
  • Anniversary cards to clients and CAREGivers
  • Client welcome pack production
  • CG information pack production
  • Post Telephone answering within 3 rings, screening & directing calls
  • Monitoring and responding within the hour to emails via the enquiry email
  • To keep filing up to date and maintain a clean desk policy
  • Create Consultation packs & GP letters
  • Training packs for CAREGivers & ID badges
  • Support with keeping up to date car tax and  insurance of all the team
  • Take minutes of meetings and distribute these
  • Scanning of paperwork where required, Updating revised paperwork as requested
  • Support with Client/CARE
  • Giver functions Have an understanding of, and work within, all legislation, policies and procedures which impacts upon service provided including GDPR and CQC regulations. To understand the principles of safeguarding and know who to contact
  • To log and act upon all comments, compliments and complaints, escalating them to management where necessary
  • Manage time and workload effectively, showing evidence of planning and prioritising where needed
  • Liaise with other professionals and National Office where necessary Record keeping and strive toward outstanding service delivery on every level
  • To visit clients and CG when required to do so and to amend your working day accordingly as this may occasionally need to be out of office hours.
  • Take part in on-call rota  Maintain health & safety in office & Attend meetings and provide reports where necessary Maintain and improve professional knowledge and competence requesting training where necessary
  • Being an ambassador and representative of Home Instead Senior Care when out in the community and to speak positively of the company to all employees and clients
  • Challenge the status quo when necessary
  • Driving licence is essential for this role

Driving licence is essential for this role

Training and Qualifications delivered:

Level 2 or 3 Business Administration

Level 1 or 2 Functional Skills English (If required)

Level 1 or 2 Functional Skills Maths (If required)

Level 1 or 2 Functional Skills ICT (If required)

Working week and salary:

Working days: Monday to Friday, 9am-3pm

Working Hours - 30 p/w

Hourly Wage: £3.90

Weekly Wage: £117 + Oncall of £15.00 per night or £60.00 over the weekend
