About Employer:

Family Mediation Forum Limited was originally incorporated in 2001, but over more recent years has expanded as Mediation has increasingly become the first choice for separating couples to use as a process to help them resolve all of the issues which can arise at this difficult time.

We offer our Mediation services to both privately funded clients and also to clients who are eligible for Public Funding (Legal Aid). Publicly Funded clients will have their mediation funded entirely, which contrasts with Solicitors Legal Aid which maybe repayable at the end of the case.

Vacancy Description:

To provide an efficient administrative role to the teams and responsive telephony/reception service to clients as well as colleagues and undertake related administration tasks. Providing a service to our Admin Teams.

Roles and Responsibilities:

  • Put the signs on arrival and ensure the sign is brought back in at 5.00pm
  • Check both FMF and EG are marked as in on the board
  • Make drinks for colleagues
  • Check the phone for any voicemails
  • Get the Mediator's files out for the following day and text each client with their appointment time
  • Answer the telephone, pass on the caller or take detailed telephone notes, ensure that the telephone numbers to return phone calls are jotted down
  • Frank the mail at the end of the day and take to the post office
  • Keep the office tidy, at the end of the day ensure all phones are charged and all office doors are locked
  • Book rooms for outreach offices
  • Close files
  • Set up for mediation rooms
  • Greet the clients in reception, take them confidentiality forms to sign
  • Send out marketing packs on request
  • Filing, photocopying and faxing
  • Local deliveries and taking money to the bank
  • Update the file opening book as and when
  • Take and keep track of room bookings
  • FRIDAY - Check the online dairy coincides with the paper diary for each mediator
  • Check stock of forms
  • Maintain stock levels of blank mediation forms
  • Collect everybody's shredding and put it in the shredding bag

Desired qualifications:

GCSE’s to include English and Maths at Grade  A* - C or equivalent

Training and  Qualifications Given:

Level 2 or 3 Business Administration

Level 1 or 2 Functional Skills English (If required)

Level 1 or 2 Functions Skills Maths (If required)

Working Week and Salary:

Monday - Friday - 9am - 5pm, with 1 hour lunch

Total hours per week: 35

Hourly Wage: £3.70, moving up to £3.90 as of April 2019

Weekly Wage: £129.50

Future Prospects:

The successful candidate may have the opportunity to secure a permanent position and progress further within the business.
